General Rules

1. PARTICIPATION ELIGIBLITY: Students, in grades K-12 who attend public, private or home schools in the Missouri counties of Crawford, Franklin, Jefferson and Washington are eligible to enter SCIENCE AND ART projects through their teacher or parents/legal guardian. K-12th grade students in St. Louis County and Ste. Genevieve County can enter ART projects. (Science projects must be entered through the ISEF affiliated Fair that covers the respective county.)

2. ENTRY LIMITS: Students may enter one art and one science project per year. Students may enter either as an individual, as a member of a group, or as a member of a class in both art and science.

3. REGISTRATION FORMS for all exhibits must be submitted in compliance with the rules and deadlines of the Fair. Use EITHER the Online Process or the Paper Process, NOT BOTH. ONLY exhibits using the CURRENT Mastodon Fair Registration forms are acceptable.

4. ARTIST STATEMENT: Art work must include artist statement written on a 3x5 card. The statement may contain but is not limited to the following information: title of the work, materials used, the inspiration for the work, a description of the work, why the subject was chosen.

5. NO SUBSTITUTIONS after the registration deadline:

1. One student cannot be substituted for another. (For example: C. Smith completed the registration form and has chosen not to participate. W. Brown cannot take the place of C. Smith).

2. No changes in category. (Examples: A science project cannot change from biology to chemistry. An art exhibit cannot change from drawing to photography. An art exhibit cannot change from wall to table or vice versa.) Exceptions are made only if it is determined that the Fair was at fault.

6. CHECK-IN: Exhibits must be delivered to the Jefferson College Field House, Hillsboro, MO during the designated Exhibit Check-In and Placement times.  Art Portfolios for the Scholarship Competition must also be checked in at this time. See the Fair Schedule for this year’s date and times.

7. MAKE SURE YOUR PROJECT IS SCANNED SO WE KNOW IT IS COMPETING: All exhibits must be 'barcode scanned' at Exhibit Check-In. Exhibits not scanned will be disqualified.

8. PROJECT PICK-UP: See the Fair Schedule for this year’s date and times for project pick-up. Please check with the teacher as to whom is picking up the project. Any remaining projects will be place in the Field House lobby and may be dismantled or destroyed. Project will only be available until trash removal on the Monday following the Fair week till 8 pm.

9. AWARD CEREMONY: See the Fair Schedule for this year’s date and time for the Award Ceremony. All scholarships, trophies, cash prizes, awards, savings bonds, certificates, and prizes will be given to students and teachers at this time. Every child who attends will be given a medallion and walk in the Grand Parade. 1st, 2nd and 3rd place medallions and honorable mention ribbons will be available for teacher or parent pickup before and after the award ceremony. Medallions, ribbons, etc. not presented at the Awards Ceremony can be picked up in the lobby afterwards by the teacher or the person responsible for entering the student. These prizes will be labeled according to the box checked on the entry form: "School and teacher's name or Parent's name."

10. GALLERY SHOW WINNERS are invited to display their art work and attend the show opening. Work must be brought to the Art Director at the gallery show opening and a Hold Harmless agreement must be signed. Invitations and show information will be mailed to the student and parent as well as be available on the Mastodon Fair website.

11. ALL EQUIPMENT AND MATERIALS EXHIBITED DURING THE FAIR ARE ENTERED AT THE RISK OF THE EXHIBITOR. Fair volunteers will be present during public viewing. However, neither Jefferson College, the Mastodon Art/Science Regional Fair, nor the sponsors will be responsible for loss or damage to any exhibit or any part thereof. It is recommended that any items of value should be fastened securely so that they cannot be easily removed and to keep additional hard or electronic copies of important documents.

12. SAFETY & DISPLAY REGULATIONS: For the safety of all visitors to the Fair, all exhibits must adhere to the safety and display regulations for Art or Science. Specifically, no food, sharp objects or obscene content/language.  All projects must be “Family Friendly” and this determination is solely at the discretion of the Mastodon Fair Directors.

13. SCHOLARSHIPS & SPECIAL COMPETITIONS: All science students in grades 9 thru 12 are automatically eligible for college scholarship competition.

The Art Scholarship Competition is for students in grades 9 - 12. Students must indicate whether they wish to participate in the Scholarship Competition by checking the appropriate box on the entry form and submit an art portfolio. Additional rules apply. See the "Special Competitions" section.

SCIENCE: Discovery Challenge. All students entering science projects in grades 5 - 8 are automatically eligible if they have filled in ISEF Safety Forms

INTEL International Science and Engineering Fair (ISEF). - All students entering science projects in grades 9 - 12 are automatically eligible.

14. DISQUALIFIED EXHIBITS are not judged and do not receive ribbons or other awards.

EXHIBITS WILL BE DISQUALIFIED FOR THE FOLLOWING VIOLATIONS

1. Incomplete or incorrect completion of current Mastodon Fair registration forms that are not corrected by the close of check-in of the Fair.
2. Failure to follow the safety and display regulations. If items in not in compliance cannot be removed, the entire exhibit will be removed from display.

3. Any exhibit deemed inappropriate to display to the viewing public will be removed. Determination to be made by the Fair Directors. All decisions are final. All projects must be “Family Friendly”.

6. If the project overlaps a 2x2 area. (See Scholarship Competition for exception)

7. If framed. (Matting is encouraged within space limits)

8. Failure to include 3x5 card of work title, artist statement, & information on art projects.  (Disqualification at discretion of Art Director.) 

9. Failure to cover signature, student’s face, student name if visible on work. (Suggestion - use 3x5 card to cover or smiley-face stickers over faces on photos.)
